How to do things in Cadencia, what is free, what is Pro, and what to try when something is not working.

Finding your way around
There are five tabs along the bottom, and that is the whole structure of the app.
- Inbox catches anything you have not scheduled yet. Add first, decide later.
- Today is the visual timeline, where tasks occupy real time.
- Timer runs a focus session against a task so you learn what things actually take.
- Projects holds your areas of life and their colors.
- More has routines, time blocks and settings.
Everyday things
Capture a task without deciding when
Add it to the Inbox. It sits there with no time attached until you are ready to plan. This is the right place for anything that arrives mid day, and keeping capture separate from scheduling is what stops tasks leaking out of the system.
Put something on your day
Schedule it from the Inbox, or add it straight to the timeline in Today. Give it a realistic duration rather than an optimistic one, because the block is drawn at the length you enter and that is the whole point of the view.
Move things when the day changes
Drag the block. Rearranging is the normal way to use the timeline, not a recovery mode, so nothing marks the day as failed and there is no streak to lose.
Set up your projects and colors
Open Projects and create one per area of your life, each with its own color. Four to six categories works best. Keep the assignments stable, because the value only compounds once you stop translating and the color goes straight to meaning.
Stop re-entering the same things
Use a routine, under More. Set the recurring shape of your week once instead of re-deciding it every Monday.
Find out how long something really takes
Start the Timer against the task and let it run without trying to go faster. Do this for the five or six things you do most often and you will have a personal duration reference worth more than any planning technique.
What is free and what is Pro
The free plan includes the timeline, the inbox, the timer, colored projects and repeat tasks. It is limited to three projects and one routine. There is no trial countdown and no card required.
Cadencia Pro unlocks six things:
- Unlimited projects
- Unlimited routines
- Calendar sync, which sends tasks to Apple Calendar and shows your calendar events on the timeline
- Time blocking, for planning the day in blocks rather than individual tasks
- Auto-reschedule, which moves missed tasks forward for you
- Accent palettes, currently Forest, Graphite, Ocean and Sunrise
Pro is $8.99 monthly, $44.99 yearly, or $79.99 once for lifetime access. Prices are in US dollars and may differ in your region. The pricing page has the full comparison.
What happens if I hit a limit, or my subscription lapses?
Nothing you made becomes unreachable. The rule is block new, keep existing: if you are over a limit you keep full access to everything you already created, and only making additional ones is blocked. No project of yours ever ends up locked behind the paywall.
Settings worth knowing about
Settings live under the More tab.
- Appearance switches between Light, Dark and System, and picks the accent palette.
- Notifications can tell you when a task is due to start, when it is due to end, or neither. Both are off unless you turn them on.
- Scheduling is where auto-reschedule lives.
- Integrations is where you connect Apple Calendar.
- Support has Send Feedback, which reaches the person who writes the code.
Weekly Plan, Weekly Review, Insights and Rewards appear in the More tab but are not finished yet. They are visible so you can see where the app is going, not because they do anything today.
When something is wrong
I paid for Pro and the app still shows the free limits
Open Settings and use Restore Purchases. If that does not do it, check that you are signed into the same Apple Account that made the purchase. Purchases are tied to the Apple Account, not to Cadencia, because there is no Cadencia account.
Calendar sync is not showing my events
Calendar access has to be granted to Cadencia in the iPhone Settings app, under Privacy and Security, then Calendars. If you declined the prompt the first time, that is where you turn it back on. Calendar sync also needs Pro.
I am not getting notifications
Two places to check. Notifications must be allowed for Cadencia in the iPhone Settings app, and the task start or task end notifications must be switched on inside Cadencia under Notifications.
How do I cancel?
Through your Apple subscriptions settings, the same as any App Store subscription. There is nothing to cancel on our side and nobody to email. Refunds are handled by Apple through their standard request process.
Where is my data, and what happens if I lose my phone?
On your device. There is no account because there is no server holding your tasks, which also means there is no database of your day for anyone to breach. Your data is included in your normal device backup, so restoring a backup restores Cadencia with it. That is the honest trade off of not having accounts, and it is worth knowing before you rely on it.
Something else is broken
Use Send Feedback in Settings. Cadencia is made by one person, so a bug report has an unusually short path to someone fixing it.
